Registration Information

Thank you for your interest in a GSNENY girl program. Registration is required for all programs. Kindly read and follow all instructions below to ensure we are able to properly process your registration.

Facts to Know Before Registering

  • Print a Registration Form by visiting www.gsneny.org and clicking on forms.
  • Registrations will be accepted at any time prior to event processing date. Based upon the capacity of a specific program space may be left after the processing date and will be determined by the noted specialist.
  • A separate registration form (please print legibly) must be completed for each program.
  • All fees are due upon registration and are non-refundable once you have been confirmed for a program.
  • A separate check or money order must be submitted for each program.
  • Online registrations will no longer be used to register for programs.
  • Girls may register individually for most programs.
  • If one check or money order is sent for multiple program registrations the registrations and check will be returned.
  • No tagalongs are permitted at program sites; only those girls and adults registered for a program may attend. A tag-a-long is any extra participant who is not registered for the program. This includes siblings, friends, and adults who do not meet but exceed the Safety-Wise (adult/girl) ratio.

How to Register

  • Mail, fax or hand-deliver the registration form with payment to the Queensbury Service Center no later than 12:00 pm on the processing date. Registrations will not be accepted at other Service Centers.
  • The Processing Date for all programs is the first Wednesday of the previous month. Registrations must be at the Queensbury Service Center on that Wednesday by 12:00 pm. If you are interested in registering for a program happening in October registrations are due Wednesday, September 2, 2009 by 12:00 pm.
  • Acceptable forms of payment are: check, money order, Visa, MasterCard or Discover. Cash will not be accepted.
  • Make checks/money orders payable to GSNENY and submit separate payment for each program you wish to attend.
  • If there are more girls interested in a program than the maximum number allowed, a lottery will be used to choose the participants. Girls who are not selected may be placed on a waiting list. Payment will be held until two weeks prior to the program in the event space becomes available.
  • If you are not placed into a program or if the event does not reach its minimum, you will be notified via e-mail and your payment will be destroyed. Money Orders will be returned.
  • A valid and legible email address must be included with each program registration to ensure effective communication.

Confirmations

Please remember to neatly include a valid e-mail address on all registration forms. In order to use resources wisely, we will send all communications via e-mail. If you do not have access to e-mail, please note that on your registration form.

Confirmations will be sent within five business days after the closing date. Confirmations will include any special instructions, directions and other pertinent information.

Cancellations & Refunds

Programs run rain or shine unless inclement weather would prevent the program from running. Leaders or girls will be contacted via phone should cancellations occur during the day of program.

GSNENY reserves the right to cancel any program. If GSNENY cancels the program for any reason you will receive a full refund.

Refunds for medical reasons will only be processed if notification is made prior to the event and is followed by a written refund request accompanied by a doctor’s note.

No refunds will be issued for no-shows or girl/adult cancellations.

Safety-Wise:

Safety-Wise adult/girl ratios are followed at all council programs and events.

Adult requirements are as follows:

One Adult to every four Girl Scout Daisies

One adult to every 12 Girl Scout Brownies, plus one adult for each additional six Girl Scout Brownies

One adult to every 16 Girl Scout Juniors, plus one adult for each additional eight Girl Scout Juniors

One adult to every 20 Girl Scout Cadettes, plus one adult for each additional ten Girl Scout Cadettes

One adult to every 24 Girl Scout Seniors/Ambassadors, plus one adult for each additional 12 Girl Scout Seniors/Ambassadors

Additional adults will not be allowed to attend programs unless otherwise stated by the Girl Development Specialist in an effort to increase the number of girls allowed to participate.

Financial Aid:

Financial Assistance is available to all girls who would like to attend council sponsored programs who are unable to afford the cost of the program. All applications must be attached to a registration form. If a program deposit is made and a request is not approved fees for the program will be refunded. Applications must be submitted at least 30 days in advance of the program but must not exceed 90 days. As always this application is confidential.

The Girl Guide will now be released quarterly. Please look for our next publication online at www.gsneny.org. If you do not have internet access the Girl Guide can be viewed at your local Service Unit.
